The agreement, in plain words.
Version 2026-09. When these change, the version changes, and existing customers are told before it applies to them.
Veristep is a record of physical work that refuses to close without its proof. These terms say what we provide, what you pay, whose record it is, and how it ends. Where the words below and a signed order or master agreement disagree, the signed document wins.
1. Who this is between
“Veristep”, “we” and “us” mean Veristep, the operator of veristep.app. “You” means the organization whose administrator accepted these terms — a commissioning or QA firm, an owner, or a program — and every person that organization admits to its workspace. The person who accepts confirms they are entitled to bind that organization.
2. What you get
A private workspace (a “tenant”) in which your people, your subcontractors and your clients record assets, inspections, evidence, documents, cases and their outcomes; the AI-assisted workforce that drafts inside it; and the closeout, warranty and maintenance record that follows a site into operation. Team members are unlimited on every plan, including the trial.
3. The trial
- The trial is the full platform for thirty days, with no card and no project cap.
- In the trial, nothing leaves the platform: no exports, no downloads of reports or files, and no API. Those switch on when you upgrade.
- A trial that ends without an upgrade becomes read-only. Nothing is deleted for ninety days, so upgrading restores everything in place. After two notices, the workspace is closed.
- Trial content is never reset and is never used to demonstrate the product to anyone else.
4. Fees
- The platform fee is $495 per month per organization, or $4,950 per year paid up front (two months free). The annual option applies to the platform fee only.
- Each project is $495 for every calendar month in which it has at least one open check (a case that is not closed). A project with nothing open costs nothing that month. A closed project is archived at no charge for as long as you are a customer.
- An owner program, a white-label arrangement, or a site in operations may be priced under a written agreement that replaces the numbers above. That agreement is recorded against your tenant.
- Fees are invoiced monthly in arrears for project months and monthly or annually in advance for the platform, due within thirty days. Fees exclude taxes you are required to pay.
- We may change list prices with sixty days’ written notice; a change never applies inside a term you have already paid for.
5. Whose record it is
The data you put in — every record, photograph, document, signature and event — is yours. We hold it to run the service for you and for nothing else. We do not sell it, train models on it, or show it to another customer. You grant us only the licence needed to store, process and display it back to the people you authorize.
The software, its design, its enforcement rules and the AI workforce are ours. You get a right to use them for the term; nothing here transfers them.
6. The record does not change
Closed evidence, events and audit entries are append-only by design. Corrections are added, attributed and logged; the original is never overwritten. This is the product’s purpose and it applies to everyone, including you and including us. Do not rely on Veristep to remove something that has been recorded — rely on it to show what happened.
7. Site handover
A firm may offer a completed site to its owner inside the platform. When the owner accepts, stewardship of the site’s record moves to the owner’s tenant and the owner becomes the paying customer for it, on these terms or on the program terms recorded for them. The firm keeps its own sealed history of the work. An offer nobody accepts leaves the site with the firm.
8. Your responsibilities
- Keep your people’s sign-ins to themselves and tell us promptly if one is compromised.
- Only admit people you are entitled to admit, and only upload material you are entitled to upload.
- Do not use the service to do anything unlawful, to attack it, or to reverse-engineer it.
- Verify the work yourselves. Veristep records what your people attest to; it does not inspect a machine, and it holds no professional certification of any kind.
9. What we promise, and what we do not
We will run the service with reasonable skill and care, keep it available except for maintenance we announce, and protect your data as the privacy policy describes. The service is otherwise provided as it is. We do not warrant that it is error-free, and we do not guarantee any outcome — a passed inspection, a won bid, a saved week — that depends on the work itself.
Our total liability to you in any twelve months is limited to the fees you paid us in those twelve months. Neither of us is liable to the other for indirect or consequential loss. Nothing limits liability that the law does not allow to be limited.
10. Ending it
- You may cancel at any time from your workspace or by writing to us; the current paid term is not refunded.
- We may suspend or end the service on written notice if fees are more than thirty days overdue or these terms are materially breached and not cured within fourteen days.
- When a paid plan ends, your workspace goes read-only and you have ninety days to export everything — every record as CSV and every file — in bulk. After two notices, the workspace is closed.
- Because the audit spine is append-only, a closed workspace’s event history stays sealed and unreachable rather than deleted. Files and access are removed.
11. Changes, law, contact
We may revise these terms; a new version gets a new version number and existing customers are told at least thirty days before it applies to them. These terms are governed by the laws of the U.S. state in which Veristep is organized, and its courts. Questions go to the address on the Talk to someone page.
