Turnover package software
The turnover package is what the owner actually buys from a commissioning or QA firm: the organised proof that the building works. On most jobs it is assembled in the last weeks from folders, inboxes and a shared drive, by people who would rather be on the next job. Turnover package software promises to make that faster. The better question is whether it can make it disappear.
What a turnover package has to contain
For every asset: the submittal and its approval, the receiving record, the installation observation, the start-up and functional test records, the deficiencies raised against it and their closure evidence, the warranty terms and start date, and the O&M documents the owner's team will need.
For the project: the register of what was required, what was received and what was waived, with the approvals; the commissioning levels reached; the outstanding items list; the owner's acceptance.
In a shape the owner's maintenance system can take. COBie-aligned asset data is the common ask; a folder of PDFs is not a system.
What to look for
- 1Is the package built as you go, or at the end?If the tool has an 'assemble closeout' button, the work still happens at the end. Look for a register that already knows on day one what will be required and fills in as each step closes.
- 2Does it know what is missing?The value is in the gap: required and not yet received, per asset, visible in week two. A tool that only lists what you uploaded cannot tell you what you have not.
- 3Can the owner accept in the tool?Acceptance by email is a loose end. Look for the owner reading the register in a portal and accepting there, with the acceptance itself on the record.
- 4Does it export to the owner's system?COBie or an equivalent structured handoff, plus every file. Ask to see the export, not the slide about it.
- 5What happens to the record after acceptance?Warranty clocks start at turnover. If the tool goes read-only or expires at closeout, the owner starts year one with nothing.

Honest limits: O&M manuals and vendor documents are stored and indexed as files, not parsed into structured data; the COBie export is one flat, COBie-flavoured sheet (component, space, type, warranty and PM fields), not the multi-tab workbook; and the package renders as the live register and printable reports rather than a single bound PDF with a table of contents — if a specification demands that exact artefact, you produce it from the export.
Questions people ask
How long does closeout take on Veristep?
We do not quote a number, because it depends on the job. What we can show you in the tour is a half-finished project whose package is already half assembled, which is the mechanism the time comes from.
Can the owner see the package before the end?
Yes — the owner portal shows the register and its gaps from the first week, which is why the acceptance at the end is a review rather than a discovery.
Does it produce COBie?
A COBie-aligned asset handoff export is built in, alongside CSV for every register and a full archive of files.
What if the owner wants the record after the firm leaves?
That is the handover: the firm offers the finished site, the owner accepts and becomes its steward, and maintenance and warranty run on the same record.
