What happens to the record if we leave?

The day a paid plan ends, the workspace goes read-only. Nobody can add or change anything, and nothing is deleted. For ninety days every export is open: every record as CSV, the full audit trail, and every file, photograph and video you uploaded, as one archive you download from the Exports page. Reactivate in that window and everything simply carries on where it was.

On day ninety, after two notices, the workspace is archived. Archived means the record goes dark: nobody on your side can open it, export from it or reach it through the API. It also means nothing is thrown away. Every record and every file is kept, untouched, for two years from the day it was archived. Your administrators can still sign in — they land on the Plan page, which says when the record was archived, how long it is kept, and how to bring it back.

Bringing it back is one fee, $495, and the plan resumes from the day it is paid. No card is taken in the app: an administrator presses "Ask to reactivate" on the Plan page, we send the invoice, and the moment it is paid every record, every file and every export is exactly where you left it. Nothing is rebuilt from a backup; the record was never gone.

When the two years end, or earlier if you ask us in writing, the workspace is closed. That is the only step that removes anything: uploaded files and all access. The audit history cannot be deleted by anyone, us included, so it stays sealed and unreachable. A trial that ends without an upgrade follows the same path, except that exports are a customer's right and never a trial's.
