How do new-hire packets work?
Send a new hire one link for the handbook, their tax and pay forms, an emergency contact and the gear you hand them — then review and close it.
Your admin, or someone with HR access, opens a packet for a new employee under People & crew → New-hire packets: the handbook and policies to read and sign, Form I-9, Form W-4, a direct-deposit form, an emergency contact, and anything else you need. Send them a link — it works on a phone, for 14 days, as many times as they need — or they can do it signed in from field mode.
For each policy they read the PDF and sign with their own name. For each form they attach a photo or a PDF of the filled-in form. Veristep keeps the file and never reads the numbers off it. Their emergency contact goes on their record, where the rest of the product already looks for it.
You review each item and accept it, or send it back with a note saying what to fix; they see the note and do it again. The packet closes when every required item is done and accepted, and then it is fixed as the record.
The I-9, W-4 and direct-deposit files are opened only by your admin and the people you gave HR access — never by supervisors or line managers, never by Veristep's staff. Each file opens for a minute through a link that isn't saved, and every opening is on the record. Once payroll has the direct-deposit details, your HR people can delete that file; the record that it was received, checked and deleted stays. How long you keep the rest is up to your own rules.
Hand over equipment from the packet — a meter, a laptop, a harness with its serial number — and the new hire signs for it from the same link.
- The link stopped working
- It expired, was replaced, or the packet was closed. Send a new link from the packet.
- A manager can't open the W-4
- That's by design. Only your admin and people with HR access open tax and pay forms.
- The packet won't close
- Something required is still to do, or done and waiting for you to accept it.
