What does Veristep send to QuickBooks, and what comes back?

QuickBooks stays your books. Veristep sends each invoice, bill, expense and day of time once, and reads the payments back.

Your admin connects QuickBooks once from the Billing page. From then on Veristep sends what you ask it to: an invoice when a billing period is ready, a retainage release, a contractor's approved week as a bill, an approved expense — as a bill to reimburse the person who paid it, with the receipt attached, or as a card purchase — and the approved weeks' time, one entry per person, job and day, never billable in QuickBooks because Veristep bills the work itself.

Each thing goes over once. Press the button twice, lose the connection halfway, or have the period fail to close after QuickBooks took the invoice, and you still get one invoice — the retry finishes the job here instead of sending it again. When QuickBooks doesn't answer, Veristep checks before it tries again.

Payments come back on their own: a payment against an invoice is recorded here as a payment line, partial or full, and a payment deleted in QuickBooks shows as a reversal. When a contractor's bill is paid in full in QuickBooks, their week is marked paid here. An invoice that is paid here but owes money again in QuickBooks becomes an item for you to look at; the paid record here is never edited.

Jobs land in QuickBooks the way you choose on the mapping page: as a job under the customer, as a class, or both. People are matched by their exact name. When QuickBooks knows someone by another name, Veristep asks you to map them rather than renaming anyone in your books, and it never creates an employee — your payroll owns those.

If QuickBooks stops accepting Veristep's sign-in, the sync page says so and nothing more is sent until your admin reconnects. During the trial nothing leaves Veristep, QuickBooks included.

Something stopped
Open QuickBooks sync. The last word from QuickBooks is beside it; fix that and press Retry — it never makes a second record.
A person needs mapping
Find their record number in QuickBooks and map them on the mapping page. Anything waiting on them goes on the next retry.
