Take over a job (under Settings) is for the job that didn't start with you — a prior commissioning firm did the first stretch, and you're taking over with their paper (or their own software's export) in hand rather than a blank register.
Bring in what they already captured — machines, documents, prior inspection results — and it lands on your register attributed to where it actually came from, not rewritten as if your firm did the original work. From that point forward, your own hold points apply exactly as they would to a machine you started on day one.
You run it once per job, at handover. There's no live link back to the system the previous firm used.
